We are looking for a Finance and Administration Assistant to help us to keep Harm Reduction International on top of accounts, reporting, governance, and administration.

Founded in 1996, Harm Reduction International (HRI) is a leading NGO dedicated to reducing the negative health, social and legal impacts of drug use and drug policy. We promote the rights of people who use drugs and their communities through research and advocacy to help achieve a world where drug policies and laws contribute to healthier, safer societies.

The successful candidate will have experience in administrative support, strong literacy in Microsoft Excel and bookkeeping systems (previous experience with Xero is highly desirable). The candidate must be motivated and capable of working both independently and as part of a team. The ideal candidate will be organised, and ready to play a role in planning and managing calendars, and have strong attention to detail.

An interest in social justice, human rights, health or drug policy is welcome, a commitment to treating all people with respect and kindness is essential.

The candidate will be expected to support larger or organisation-wide initiatives from time-to-time, as they arise, and may be required travel within the UK or internationally.

The position will report to the Finance Manager and Executive Director.

Finance and Administration Assistant Responsibilities:

§  Collect and examine supporting documentation that support reconciliation of expenditure associated with field trips or payments sent, raising and resolving queries.

§  Support day-to-day processing of authorised financial information such credit card statements, petty cash, staff expense and other income and expenditure transactions.

§  Update relevant transaction logs and ensure that accounting entries are charged to the correct approved budget.

§  Support preparation of accounts and all processes related to the organisation’s external audits, including the annual audit and project audits.

§  Maintain and update supplier and consultant details.

§  Provide full administrative support to HRI’s Board of Trustees, including taking minutes at meetings, facilitating travel, and managing logistics for meetings.

§  Update and maintain the organisational details on the Charity Commission website.

§  Support human resources tasks, GDPR compliance and other regulatory processes.

Person Specification – Skills and Experience

§  Must have 2 years’ experience in an administration or finance role in an office environment, and experience undertaking a range of administrative and financial duties including processing financial transactions and exporting financial information into other software.

§  Good computer skills with a degree of proficiency in Excel.

§  Excellent numeracy skills with a keen eye to detail.

§  Able to work quickly and accurately to tight deadlines, effectively managing one's time and prioritising competing demands in a methodical and systematic manner.

§  Excellent English verbal and written communication skills.

§  Initiative, enthusiasm and a common sense approach to problem solving.

§  Strong administrative and organisational skills.

Salary: £23,000-25,000 per annum FTE (plus annual leave and pension).

Location: The post will be based at the HRI office in London.

Hours: This is a full-time role; we are open to applicants interested working 4-days per week.
